1. Employer sends the form

Your HR team or onboarding portal (Workday, Greenhouse, or the employer's own system) sends the new hire the Section 2 instructions. No portal access is needed from us unless you want us to upload directly.

2. We meet the new hire

We schedule a 15-minute in-person meeting, at your office, the employee's home, or a public spot. The employee brings original List A, or List B plus List C, documents.

3. Section 2 is completed

We physically examine the documents, complete and sign Section 2 as your authorized representative, and return it to your HR team or portal the same day.

Does Form I-9 verification need to be notarized?

No. Form I-9 does not require a notary stamp or seal. What federal law requires is that someone physically examines the employee's original documents in person. Reid completes Section 2 as your employer's authorized representative, which is a role any designated person can fill, and no stamp is added or charged.

Why is a new hire asking me to find someone for the I-9?

Every U.S. employer must complete Form I-9 for every new hire, including U.S. citizens. When the employee works remotely and no HR staff member is nearby, the employer authorizes an outside person, an authorized representative, to examine the documents in person. The new hire is often the one asked to arrange it, which is how most people find us.

Can you come to our office or the employee's home?

Yes. We regularly meet employees at offices in Kendall Square (Cambridge), the Seaport, the Hartwell Avenue and Hayden Avenue corridors in Lexington, and the Route 128 corridor in Waltham, or at the employee's home anywhere in our Greater Boston service area. Evenings and weekends are fine.

What documents does the employee need to show?

One document from List A of Form I-9, such as a U.S. passport or permanent resident card, or one document from List B (for example a driver's license) plus one from List C (for example a Social Security card). The originals must be present. Photocopies are not acceptable.

How fast can you complete the verification?

Most appointments are completed within one to two business days of first contact, often same day. The in-person examination itself usually takes about 15 minutes. We return the completed Section 2 to your employer or HR portal right away.

Do you offer monthly plans for companies?

Yes. Companies that hire remote employees regularly can subscribe to a monthly plan starting at $450 per month, which covers up to 5 verifications, with additional verifications during the same month at a reduced rate. We can also set up same-day scheduling windows for your hires.
